Breakup email that closes the loop

The last email in a cold outreach sequence, after two or three unanswered messages. It tells the reader you will stop and means it.

The email

Hi {{first_name}},

I've written a few times about {{topic}} and haven't heard back, so I'll assume it isn't a priority right now. That's completely fine.

This is my last email. If {{problem}} becomes an issue later, you can reach me here, or read how teams like yours handle it: {{link}}

Thanks for reading, and good luck with {{current_initiative}}.

{{your_name}}

Highlighted {{placeholders}} are the parts to replace. If you cannot fill one with something true and specific, cut the sentence rather than leaving it generic.

When to use it

Use it as the final step of a sequence of three or four emails. After this, stop: no "one more thing" a week later. If you would not honour the promise, do not send a breakup email.

Keep the tone warm. The point is to close the thread cleanly so the reader is glad to hear from you if they ever need what you sell.

Why it works

  • It removes the pressure to respond. Some people only reply once they know it will not start another chain.
  • "That's completely fine" is the important line. It is what separates a breakup email from a guilt trip.
  • It leaves something useful behind. A link they can come back to costs nothing and outlasts the sequence.

Before you send

Prune bounces before the last send of a sequence. Any address that hard-bounced earlier is dragging your domain's bounce rate up for no possible reply. If you are building the next sequence now, verify its list with SimpleVerifier before the first email, not after the last.

Verify your list before you send

The best template still bounces off an address that does not exist, and a high bounce rate is the quickest way to get a sending domain throttled. Upload the CSV and every address gets a live mailbox check, with valid, risky and invalid split into separate files.
